Knaphill and St John’s Operatic Group (KASJOG)  is committed to protecting personal information. This Privacy Policy relates to our use of any personal information we collect from you when you book seats online or in person, come to one of our productions and/or otherwise join our mailing list. It applies to members and to the public.

The personal information we collect

We collect basic personal details such as your name, address, e-mail address, telephone number, shows you have booked for and amounts paid.

How we use information

We use your information to administer the bookings that you have made, and to tell you about our forthcoming shows and similar events that are likely to be of interest to you. This is called ‘Legitimate Interest’ within the GDPR regulations.

We will keep your personal data for no longer than reasonably necessary. Personal data is retained by for a period to assist us in responding to customer booking queries or any charge disputes that may arise, and also to allow us to contact you to promote future events, but only where you have given us permission to do so. Some information is retained for longer periods to perform sales and other business analyses, and may be retained indefinitely.

We may use a third party ticketing supplier, currently TicketSource, to facilitate disciplined seat allocations and to collect some payments. We may also share personal data about bookings with the venue that is hosting the event. This is used to support event administration, and to perform quality assurance, sales analysis or other business analyses.

We will not share your personal information with these third parties for other purposes, or with other third parties, without your consent.

Security

We have put in place reasonable security measures to protect against any unauthorised access to or corruption of, or disclosure or loss of, your information. We consider that our third party ticketing supplier also operates a highly secure system. The venue hosting the show also has robust data security processes.

Your rights 

Please let us know if your contact information changes as it is important that the personal data we hold about you is accurate and up to date. You are on our mailing list for the reasons given in the first paragraph above. We will keep your information indefinitely, however you can ask us to remove your personal information from our records at any time and we will stop sending you any further correspondence.

If you book online, you may be asked to give consent for us, or third parties, to contact you by email, text or other means, in the course of promoting future events. We will use our best endeavours to avoid contacting you in the future unless such consent has been given. However, we are aware that many bookings are currently made without the booking party having considered this option during the booking process.

You have the right to request a copy of all the personal information we hold about you in a Subject Access Request. To do this, simply contact us as indicated below. We will take all reasonable steps to confirm your identity before providing you with details of any personal information we may hold about you.

You have the right to require us to correct any errors in the information we hold about you, to object to any processing of personal data, and to lodge a complaint with the Information Commissioner’s Office.

Changes to this Privacy Policy 

We may amend this Privacy Policy from time to time; for example, to keep it up to date or to comply with legal requirements. Patrons will be able to view any such changes on our website.
